Nonprofessorial academic staff is comprised of:
- Teaching staff (Lecturers, Senior Lecturers, and Artists-in- Residence)
- Research staff (Research Associates, Senior Research Scientists, Senior Research Scholars)
- Professional Librarians (Assistant Librarian, Associate Librarian, Librarian, and Senior Librarian)
These appointments are made for a specific period of time, for a continuing term (subject to satisfactory performance, programmatic need, or financial support), or for the duration of an administrative appointment or project. Procedures for Academic Staff-Teaching appointments are established in the Medical School by the Senior Associate Dean for Academic Affairs. Procedures for Academic Staff-Research are established by the Office of the Dean of Research. Academic staff are not members of the Academic Council (Admin Guide 23.1).
The Research Policy Handbook, Chapter 9, contains information and Appointment forms for Research Associates and Senior Research Associates (Academic Staff-Research). These are academic staff working in a capacity that ordinarily requires a Ph.D. or M.D. or its equivalent in research skill and subject knowledge, a Research Associate is involved directly in the execution, and frequently the design of a Principal Investigator's research activities. The level of contribution to the PI's research is greater than an LSRA.

| Create A Requisition | Requisitions for Academic Staff are created as "waivers" in order to hire a candidate into a new appointment. These requisitions are not posted on the Stanford Jobs web site. If you do not have a candidate to hire, you may advertise for the open position and start by contacting Bridget Grant for the next steps.

Note: If the candidate is currently employed by Stanford in a contingent position, complete a Termination Spreadsheet and mail it to payroll@stanford.edu. If the candidate is currently employed by a different department, request a release of his/her PeopleSoft job record. 3. For your Department Personnel File (7 Year Retention Following Termination):

| Complete this process if employee is not changing positions, but is changing the number of hours worked or has a change in salary (ie. merit, midyear increase). 1. Change in FTE and salary should first be approved by the Division Manager. 2. E-mail DOM HR with a request to change FTE and/or pay. DOM HR will then review the request, and submit it to HRG for approval. 4. E-mail or FAX a copy of the change documentation to Greta Lazaro. 5. Once all approvals are gathered, create an Employment Update Web Form. |

| paying a supplemental pay | The Supplemental Pay Web Form is used for paying out multiple types of pay, including one time salary payments, bonuses, supplements, etc. 1. Request an approval from DOM HR to pay out your supplemental pay. 2. After you have received an approval notice, create a Supplemental Pay Web Form. 3. If you would like to disperse the supplemental pay before the next pay period, create an Off-Cycle Check Request Web Form. A $35 processing fee will be incurred. 4. To change the end date, amount of pay, or paying PTA of a Supplemental Pay that is being paid over multiple pay periods, submit an Additional Recurring Pay Form with the appropriate changes to Payroll, MC: 6112. |

Academic Staff are not eligible for sabbatical leave. If the employee is requesting an unpaid personal leave, approval must be first granted by the supervisor, then by the appropriate department (Teaching - Academic Affairs, Research - Dean of Research Office):
